Every Growth and Enterprise customer gets a dedicated implementation manager who has migrated 50+ HVAC shops. They do the heavy lifting. Here’s the actual schedule.

Day 0. Kickoff call (45 min)

We learn how your shop actually works.

Your implementation manager hops on a video call with you and your office manager. We map your current workflow. Booking, dispatching, billing, follow-up. And document what’s working so we don’t break it. You don’t configure anything yourself.

Days 1–4. Data migration

We import customers, equipment, maintenance plans.

Send us your QuickBooks file, your customer CSV, and your maintenance plan roster. We clean it, dedupe it, and load it into Fieldstack. We connect QuickBooks live. You review and approve before we go further.

Days 5–8. Configuration & pricebook

Your service catalog, your prices, your way.

We build your service catalog with your line items and your prices. If you’re migrating from another platform, we port your existing pricebook. If you don’t have one, we hand you a starter template based on 1,400 shops worth of benchmarks.

Days 9–11. Training (2 live sessions)

Office training, then field training.

90-minute Zoom for the office (booking, dispatching, invoicing). 60 minutes with the techs at a Saturday morning shop meeting. We’ll send pizza on your behalf if you want. Every tech gets a one-page cheat sheet on the fridge in the break room.

Days 12–13. Parallel run

Both systems running side by side.

Two days where you keep your old workflow and Fieldstack in parallel. Catches anything we missed. Your IM monitors closely and fixes anything live.

Day 14. Go live

Old system off. We celebrate.

You’re fully on Fieldstack. Your IM stays embedded for the first 30 days, available by Slack or phone, then transitions you to your ongoing CSM. Most shops see their first measurable revenue lift in week 3.

Billing questions

Pricing is the part of the software industry that lies to you the most. We try to do less of that.

Are there per-transaction fees on top of the subscription?
No. You pay Stripe’s standard processing rates directly (2.9% + 30¢ for cards, 0.8% for ACH up to $5 cap). Fieldstack doesn’t add anything on top. Many of our competitors mark up processing 0.5–1%. That’s 5–10x what we charge in software per dollar processed.
Annual or monthly billing. What’s the discount?
Annual saves about 17% (two months free). You can also pay quarterly with a 9% discount. We don’t lock you into multi-year deals. That’s an Enterprise-only concept and it’s always your choice.
What if I grow past 12 trucks on the Growth plan?
You roll into Enterprise pricing at the next renewal. Typically $1,800–$2,400 per month for 13–20 trucks, scaling from there. We don’t penalize you mid-term. If you cross the threshold in October on an annual contract, you finish out the year at Growth pricing.
Setup or implementation fees?
Starter: zero. Growth: zero. Enterprise: zero for standard onboarding; custom data migrations from ServiceTitan or FieldEdge are billed at $2,500 flat, regardless of shop size. That’s it.
What does the money-back guarantee actually cover?
On annual plans, you have 30 days from go-live to back out for any reason. We refund the full year, you keep your data, we wave goodbye. No clawbacks, no “sorry, your implementation fee is non-refundable.”
