The three things that break HVAC shops

Most contractors don’t have a software problem.
They have a handoff problem.

01. The Office

Calls slip between the phone, the calendar, and the truck.

Your CSR books a tune-up in Google Calendar. The lead tech doesn’t see it until he checks his phone at 7am. The customer’s address is in the booking email. Which the tech can’t find. So he calls the office. The office is on another call.

One dispatch board, every truck synced
02. The Truck

Techs come home with three pockets of paper and no signed invoices.

Hand-written work orders. A photo of a serial number. A diagnostic fee taken on a different card reader. Your service manager spends Tuesday morning chasing yesterday. By Friday you’re reconciling instead of selling maintenance agreements.

Sign & pay on the truck, before tear-down
03. The Customer

Homeowners are texting the cell number on the magnet on the fridge.

They don’t know if the tech is coming at 10 or 2. They never got the quote you emailed last Thursday. They got three other quotes while waiting. They picked the one that texted back fastest. And it wasn’t you.

Two-way SMS, ETAs, and auto-followups
What’s in the box

Four tools that finally talk to each other.

No more “export to CSV, re-import to QuickBooks.” Fieldstack ships as one system: dispatch, mobile crew app, billing, and customer comms. Your data lives in one place. Your reports actually match.

Dispatch board built for a 3-truck Tuesday and a 30-truck Friday.

Drag-and-drop calls onto techs by skill, certification, or revenue per hour. See drive time, current job status, and arrival ETAs live. Re-route the whole day in 90 seconds when a no-heat emergency comes in at 2pm.

  • GPS-aware routing. Slot calls by drive time, not gut feel
  • Skill tagging (R-410A, heat pump, light commercial, NATE)
  • Capacity dashboard. Never overbook the long-tenure techs

Mobile crew app, offline-first.

Your techs can pull up a work order, take photos, capture a signature, and run a card. Sitting in a basement with no cell signal. Sync happens when they’re back on bars.

  • Works without service (offline-first)
  • Photo & serial-number capture per asset
  • Tap-to-pay on iPhone & Android (no card reader)
  • Built-in good / better / best estimate builder

Invoicing that closes the job.

Tech finishes the install, taps Done, customer signs, payment hits your account. No paper. No Tuesday-morning catch-up.

  • ACH, card, financing in one screen
  • Auto-syncs to QuickBooks Online
  • Recurring billing for maintenance plans

Customer comms on autopilot.

Booking confirmation, ETA text, “tech is on his way” with photo and bio, post-job review request. All automatic, all branded in your colors.

  • Two-way SMS from one shop number
  • Auto review requests after paid jobs
  • Win-back drips for lapsed maintenance customers

Reports your accountant trusts.

Close rate by tech, revenue per truck, average ticket, membership growth, warranty exposure. Numbers your CPA stops asking you to “double-check.”

  • Tech scorecards (closed % & avg ticket)
  • Membership retention by tier
  • P&L per job category
Patriot Air · Modesto, CA · 12 trucks

We were closing maybe 38% of estimates. Six months on Fieldstack, we’re at 61. The good / better / best builder pays for the whole platform by itself. My techs aren’t guessing anymore. And my office isn’t chasing paper.

The crew app

A phone in every truck. No more clipboards.

Techs see their day before they get in the truck. They run diagnostics against equipment history, build the estimate on the customer’s couch, capture a signature, take payment, and trigger the QuickBooks invoice. All without leaving the home.

Service managers see live status. Office sees what got billed. Owner sees the dollars. Everyone’s looking at the same job. For the first time.

How long does onboarding take? My office manager is already underwater.
Median time from signed agreement to first dispatched call is 14 days. Your dedicated implementation lead handles the QuickBooks sync, imports your customer list, and runs two live training sessions for the office and the techs. The office manager spends maybe 4 hours total over those two weeks. And the rest is us.
What if some of my older techs hate technology?
The crew app is two screens: today’s board, and the active job. That’s it. We optimized for a 58-year-old service tech with reading glasses, not a 22-year-old TikTok user. Buttons are large, the labels are plain English, and there’s a “call the office” button on every screen.
We use QuickBooks Desktop, not Online. Does that work?
Yes. Fieldstack syncs to both QuickBooks Online (real-time) and Desktop (twice-daily batch via our connector). About 35% of our customers are still on Desktop and it works fine. If you’re thinking about moving to Online, we can do that migration during onboarding at no charge.
How are you different from ServiceTitan, Jobber, Housecall Pro?
ServiceTitan is built for shops with 30+ trucks and an enterprise IT budget. Jobber is built for lawn care and handymen. Housecall Pro is generic. Fieldstack is built specifically for residential and light-commercial HVAC shops between 3 and 40 trucks. That’s it. Our price comparison and feature comparison are on the pricing page.
What does this actually cost?
Starter is $89 per seat per month for the office and $39 per seat for each tech in the field. Growth (most popular) is $1,299/mo flat for up to 12 trucks, and Enterprise is custom for larger fleets. No setup fee, no per-transaction billing fees, no “sync to QuickBooks” upcharge. See the full breakdown on the pricing page.
What happens to my data if we leave?
You own your data. Full CSV export of customers, jobs, equipment history, invoices, and photos. Anytime, from your account settings, no tickets, no waiting. We’d hate to see you go, but we’re not going to hold your business hostage.

Stop running your shop on five tabs and a prayer.

About this design template

Fieldstack is a vertical SaaS design template.

This is a design template that shows how Albertson Designs approaches saas websites. The structure, photography, typography, and copy were built around how a real saas business actually operates. Generic about-services-contact patterns are not here.

When Albertson Designs builds your site, we use designs like this as a reference for color, structure, and category vocabulary. Every line of code, every photo, and every word is custom for your business. Most full builds ship in four to eight weeks depending on scope.
